- Inquiries – name, company, e-mail address, phone number (if provided) and the content of your message sent via the contact form or e-mail;
- Orders – company data, VAT/EU VAT number, billing address and payment details necessary to issue an invoice;
- Trainings – name and business contact details of participants registered by the ordering organization;
- Technical data – anonymous usage statistics of this website, if analytics tools are enabled.
3. Purposes and legal bases
We process your data to answer inquiries and prepare offers (Art. 6(1)(b) GDPR – actions before a contract), to fulfil purchase agreements and deliver Map Files and trainings (Art. 6(1)(b)), to issue and store accounting documents (Art. 6(1)(c) – legal obligation), and to improve our website (Art. 6(1)(f) – legitimate interest). We send marketing information only with your separate consent, which you can withdraw at any time.
4. Cookies
This website uses only cookies necessary for its operation and, if analytics are activated, anonymous statistics cookies. You can manage cookies in your browser settings. No advertising or tracking cookies are used.
5. Data retention
Inquiry correspondence is kept for up to 12 months after the last contact. Contracts, invoices and accounting records are kept for the periods required by Polish tax law (currently 5 years from the end of the calendar year in which the payment deadline passed or the invoice was issued).
6. Your rights
You have the right to access your data, rectify it, erase it, restrict its processing, transfer it, and object to processing based on legitimate interest. To exercise any of these rights, write to contact@maps-for-excel.com. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (PUODO) in Poland or with the supervisory authority of your EU member state.
7. Data sharing
We do not sell your personal data. It may be shared only with entities that help us run the business: the website and e-mail hosting provider, the accounting office, and the bank processing your payment — each only to the extent necessary. Data is not transferred outside the European Economic Area unless an adequate level of protection is ensured (e.g. EU Standard Contractual Clauses).

We apply appropriate technical and organizational measures to protect your data, including encrypted (HTTPS) communication, access control and regular updates of the systems we use.
